Facilities Scheduling and Resource Management Software

The Reservations Management module of our Online Registration & Management System is a versatile scheduling or booking system based on single-slot dates and times. Facilities, activities, equipment and/or instructors can be quickly reserved for select periods, however you define these. The system automatically processes payments, readjusts availability, records customer data and tracks resource use in real time.

On your public website, the reservations interface is in an easy-to-use calendar format displaying available dates and times as well as the number of reservable units remaining. For instance, you offer five different meeting rooms for rent by the hour, daily. A customer sees there are still two available for rent at the time he needs it, and secures it with a click.

Let's say this customer is making a presentation and needs a projector. All available equipment for this room is also listed and the two types of reservations are linked in a single transaction. Now the display adjusts to show the next customer that only one room is still available at that time.

Such simplicity belies the real power of the module, however. The facility manager logs in and immediately sees the day's reservations across all resources, with detailed reports linked: The meeting room schedule for the cleaning staff, a delivery list and schedule for the equipment manager, a roster of one instructor's private students for the day, perhaps, or the names of guests on a tour.

The organizational efficiency is irreversible; you'll never go back to over-bloated systems or clipboards on the wall.

The system also validates resource and site capacity. Ten spots in a training session and you've scheduled six sessions. But only 50 people are allowed in the building at a time? No headaches. The system will shut off further reservations to a single session when it is full or to any session when the building is at capacity. Delete another unnecessary worry.

Accept recurring reservations, record attendance, send automatic email receipts and reminders, customize it all. The Reservations Management module can be seamlessly integrated with Membership Management for Facility Access, and a Point of Sale eCommerce solution. Service fees are independent of the class registration and class management modules.
