Where did the “Change Status” link go?

By |May 19th, 2016|

You may have noticed that we’ve removed the “Change Status” link from the invoice detail page. By clicking that link you used to be able to change the status of an invoice from PAID to UNPAID, allowing you to add new items to that invoice or edit the amounts of existing items (you couldn’t previously add or edit items on a PAID invoice).

While having the ability to add or remove items from a paid invoice is important to some schools, allowing someone to change an invoice’s status to UNPAID when there’s a payment recorded against it would occasionally result in some strange behavior with the invoice, including the amounts on the invoice not totaling […]

Student merge tool down for maintenance

By |September 9th, 2015|

This Saturday, September 12th, we will be taking the student merge tool (Tools > Student Merge) down temporarily while we complete work on a new version of the tool. The new tool will be available some time in October.

Why not make the existing tool available while we work on the new one? 99% of the time the existing tool works perfectly, but there have been reports of student/parent records disappearing after being merged, and we don’t want to take the chance of anyone losing data unexpectedly.

One of the features of the new tool will be the ability to scan your entire student population for duplicates rather than having to go searching name by name. When […]

Introducing Mobile Attendance and Schedules for Instructors

By |August 10th, 2015|

Among an instructor’s least favorite activities, two that are usually at the top of their list are:

recording and submitting attendance
keeping up with changes to their schedules

With that in mind, as a gift to instructors (and administrators) everywhere we present to you the ASAP Teacher’s Assistant app. With Teacher’s Assistant an instructor can record and submit attendance from their phone, right from their classroom. And if there’s a last-minute change to their schedule, that will appear in the app as well.

To make sure there’s no excuse not to give it a try, we’ve made the app really, really easy to use:

Open the app.
Touch the class or lesson you want to submit attendance for.
Mark […]

ASAP Quarterly Product Review For Q2 2015

By |July 29th, 2015|

Every three months we’ll be posting a review of the work we accomplished in the prior quarter. It’s an opportunity to highlight improvements and new features you may not have discovered yet. We’ll also touch on any upcoming projects that have reached the final planning stages in the “What’s Next” section at the bottom of this post.

Today we’re reviewing the projects we completed in the second quarter of 2015.

Finances

We made a large number of “under the hood” improvements to the code that powers our financial features (invoices, fees, financial reports, etc). You won’t see most of these changes visually but you will see improved stability and speed when dealing with […]

Improvements to Recurring Billing

By |March 2nd, 2015|

ASAP’s recurring billing feature gives you the ability to you offer your students various ongoing payment options (weekly, monthly, quarterly and annually) when registering for a class.

While one of our more popular features, we’ve received feedback that we don’t make the fact that a class is set up for recurring billing (or what the specific terms of the billing will be) clear enough to the student when they’re registering for the class.

With this in mind we set about to clarify what the student sees on your online registration site as best we can. The following is a summary of the changes that we’ll be adding to the site this Wednesday (March […]

New Feature: Switching Private Lesson Instructors

By |January 30th, 2015|

So an instructor called this morning to say they need to take the final three weeks of the year off due to a family emergency. Or, you got a call from a student and they would like to switch to a different instructor for the remainder of the semester.

In the past you had to drop these students from their lessons and re-enroll them with a new instructor, meaning that switching instructors was possible but not as easy as it should be. Well today we’re making it a whole lot easier.

There are actually two ways to switch instructors now. Both of them can be done from the student’s private lesson detail […]

New feature: Redesigned registration forms

By |July 10th, 2014|

For the past several months we’ve been working on a number of improvements to your student registration forms (the ones your student’s complete when registering for a class or creating a new account), and tonight we’re making them available to your customers. Here’s what you need to know:

What are the improvements?

The biggest improvement (for those of you who offer classes to children) is that the new forms allow us to make a parent the primary account holder for a child’s account, rather than the child being the primary account holder as is currently the case.

You’ll now be able to search for a parent’s name via student search (just check the new Show Parents […]

New in ASAP: Real Prerequisites!

By |June 19th, 2014|

Many of you offer courses that have prerequisites (“In order to take Advanced Photography you must first take Intro to Photography”). You’ve always been able to enter prerequisite information for a course into ASAP, but that info didn’t actually prevent someone from enrolling in the course; all it did was inform the student that the prerequisite needed to be met.

Today we’re pleased to announce a number of improvements to our prerequisites feature, the most important one being that when a student tries to enroll in a course, if that student has not yet completed the prerequisite for that course, ASAP will now remove that course from the student’s shopping cart and inform […]

A new, (much) faster way to accept payments.

By |May 22nd, 2014|

Say a student comes into your office (or calls on the phone) and wants to pay off their balance. Easy right? Well until now you had to search for the student, navigate to their student page, find the right invoice (or invoices), navigate to the payment page… that’s too many steps to complete a task you might have to perform several times a day.

Today we’re happy to announce that we’ve greatly streamlined the process of accepting payments. All you have to do is search for the student, and if the student has a balance due you’ll see it right there under their name:

To accept a payment, just click the “pay […]
